Create a controlled RFQ
Start with the product family, application, quantity, dimensions, destination, target schedule and customization requirements. Attach a drawing or reference image where possible and identify which details are mandatory versus open to the supplier's proposal.
Verify capability with relevant evidence
Request evidence linked to the product you intend to buy: process scope, quality checkpoints, sample route, packing capability and export documentation. Avoid relying on generic factory photographs or certificates that cannot be matched to the order.
Approve the product in stages
Depending on risk, approval can include a drawing, material and component schedule, color sample, prototype, packaging sample and pre-production sample. Record which approval controls mass production.
Plan inspection and shipment before production
Agree inspection criteria, sample size, responsibilities, packaging marks, loading assumptions and document requirements before the order is released. Late decisions create avoidable cost and schedule pressure.
Keep commercial assumptions visible
The quotation should connect price, Incoterm, MOQ, lead time, packing, container quantity, payment milestones and validity to the approved configuration. Seek professional customs and tax advice for the destination market where required.
